Notifications
The Notifications workspace brings the Club’s financial email settings and delivery records together. It has three tabs: Settings, Email Preview, and Delivery History.
Payer readiness
Section titled “Payer readiness”Each Payer has a separate scheduled-notification state on their Payer record:
- Not Ready — scheduled financial emails have not been approved for the displayed contact email. Select Enable scheduled notifications when the address is correct and the Club is ready to communicate with that Payer.
- Ready — the Payer can receive enabled scheduled financial emails. Select Pause scheduled notifications to stop them.
- Paused — scheduled financial emails are stopped until an Administrator selects Resume scheduled notifications.
You can also select eligible Not Ready Payers in the Payers list and use Enable notifications. Review the preview before confirming; enabling readiness does not send an email immediately.
Readiness affects scheduled financial emails only. It does not change a balance, stop Portal access, or prevent immediate Payment and Refund confirmations. A Disabled Payer does not receive scheduled emails.
Scheduled notification settings
Section titled “Scheduled notification settings”Open Notifications > Settings to:
- turn scheduled notifications on or off for the Club;
- choose the Club timezone and daily send time;
- enable consolidated New Fee notifications;
- enable Outstanding Balance reminders every 7, 14, or 28 days;
- select Active Administrators for the Weekly Administrator Summary;
- select Administrators for Online Payments Needs Attention emails; and
- add an optional Club sign-off.
The timezone and daily time control when the Club’s scheduled cycle runs. Save changes with Save notification settings.
Payment confirmations and confirmed Refund confirmations are immediate financial receipts. They are required and cannot be disabled in scheduled settings. Their delivery does not change whether the underlying Payment or Refund is recorded.
Preview emails
Section titled “Preview emails”Use Email Preview to check each available template in HTML or plain text. Preview content uses fixed sample information and does not create financial data or contact a Payer. Send Test Email to me, when available, sends only to the signed-in Administrator’s verified email address.
Delivery History
Section titled “Delivery History”Delivery History records Payment, Refund, scheduled, operational, and Test Email activity for 90 days. Each entry shows:
- date;
- notification type;
- recipient and masked email;
- channel; and
- status with a practical explanation when available.
Delivery History confirms the email service accepted a message; it does not prove that the recipient opened or read it.
